The role

Reporting to the Executive Director, the selected candidate will ensure proactive management of day-to-day operations, prioritize actions and speaking opportunities, and oversee representation activities. They will provide strategic guidance and coordinate activities related to the Executive Director’s communications, ensuring follow-ups on internal and external engagements, including major meetings with the faculty and staff community at Polytechnique Montréal.

This key strategic and tactical role involves preparing the Executive Director’s interventions, organizing briefings, accompanying or representing them at partner meetings, and overseeing the planning and execution of priority mandates (travel, special or strategic projects, etc.). The candidate will collaborate with functional and departmental directors as well as service managers to help realize the university’s vision and strategic objectives. They will also play an important role in complaint management and ensuring accountability measures required by the Executive Office.

Additionally, the candidate will support smooth office operations, fostering efficient communication and alignment among team members, while ensuring the effectiveness of operations related to both the functioning and development of the Executive Office.

The right fit
  • Master’s degree in communications, management, public administration, or a related field.
  • Minimum of 10 years of relevant experience in progressively senior roles within a comparable organization.
  • Proven experience demonstrating a strong understanding of governance, regulations, and coordination mechanisms across decision-making bodies, as well as knowledge of the key challenges related to organizational transformation and funding.
  • Experience in university administration (an asset).
  • Proficiency in a third language (an asset).
