The role

Reporting to the Executive Director, the Executive Assistant provides administrative support to the Centre’s management and Foundation.

Main responsibilities include:

  • Managing correspondence, scheduling, and meeting logistics;

  • Preparing agendas and minutes for meetings;

  • Coordinating with internal and external stakeholders involved in website management and social media communications;

  • Handling phone reception and general administrative duties;

  • Supporting executive and board-level activities and ensuring efficient administrative operations.

Please note that this is a permanent part-time position of 28 hours per week, including one day of remote work and three days on site.

The right fit
  • College diploma (DEC) in office administration, business administration, or related field—or equivalent experience;

  • Minimum 2 years of relevant experience;

  • Strong planning and coordination skills (agenda management, meeting organization, committee and project follow-up);

  • Excellent administrative writing and communication skills (minutes, official documents, internal and external correspondence);

  • Experience in document management (filing, archiving, updating records);

  • Experience supporting executive leadership and boards of directors;

  • Familiarity with digital communication tools such as Google Ads, Mailchimp, Canva (knowledge of InDesign, Illustrator, or Photoshop is an asset);

  • Excellent command of French (oral and written) and strong writing skills;

  • Good understanding and oral communication in English, written English considered an asset.
